How Next Development Studio, Inc. collects, uses, and protects data in My AI CFO.

This Privacy Notice applies to the My AI CFO marketing website and the My AI CFO web application, with particular focus on the authenticated product experience. It explains what information we collect, how we use it, when we disclose it, and what choices you have.

My AI CFO is operated by Next Development Studio, Inc.. The service includes account authentication, organization-based financial workspaces, QuickBooks connectivity, AI-assisted analysis, forecasting, and related security and support tooling.

Scope

This Privacy Notice applies to information collected through the public marketing website, waitlist and contact flows, and the authenticated My AI CFO web application. The web app includes account login, organization-based access controls, connected financial data, AI-assisted workflows, and financial reporting and forecasting features.

Some parts of the service are available only to invited, registered, or approved business users. By using My AI CFO, you acknowledge the practices described in this notice.

Information We Collect

Information you provide directly

  • Contact details such as email address when you join the waitlist, request access, communicate with us, or use the product.
  • Account profile details such as your name or display name, organization membership, role, and login preferences.
  • Organization and business-context information you enter so the service can tailor analysis, reporting, and planning outputs to your business.
  • Messages, prompts, instructions, and other content you submit when using the AI assistant, forecasting features, or support workflows.

Authentication and security data

  • Login credentials and authentication method records, including password credentials, linked Google OAuth account identifiers, and passkey credential metadata.
  • If you use passkeys, we store cryptographic credential information such as credential identifiers, public-key material, counters, device labels, transport metadata, creation timestamps, and recent usage timestamps. We do not receive or store fingerprint, face scan, or other biometric templates from your device.
  • Session and security records such as session identifiers, cookie-backed login state, IP address, user-agent, temporary verification state, and rate-limit records used to protect the service.

Financial, workspace, and connected-service data

  • Connected accounting workspace data, including QuickBooks connection metadata, company identifiers, company names, connection status, token and refresh-state details, and active-company settings.
  • Financial records and workspace outputs such as chart-of-accounts data, transactions, report data, balance and cash-related data, forecast inputs and outputs, report settings, cached report results, and generated analyses.
  • Organization-level settings, permissions, AI usage allocation settings, and related administrative records needed to operate multi-organization access.

Usage, device, and browser storage data

  • Information about how you use the product, including assistant request counts, AI token usage, selected model or provider settings, and recent feature usage needed for quotas, capacity management, and service administration.
  • Browser and device data such as IP address, browser type, user-agent, and device-related information reflected in authentication and session handling.
  • Browser-side storage data, including local storage used for items such as current organization selection and theme preference, and session storage used for assistant message history and similar in-session product state.
How We Use Information
  • Provide, maintain, secure, and support the marketing site and the My AI CFO web app.
  • Authenticate users, manage sessions, enforce organization access controls, and protect accounts from abuse, fraud, or unauthorized access.
  • Connect to accounting systems, retrieve and display financial data, and maintain workspace-level reporting, forecasting, and analysis features.
  • Personalize the service based on organization membership, business-context inputs, active connected company, and user-selected settings.
  • Process AI prompts, context, and outputs to generate assistant responses, forecasting outputs, planning suggestions, and other requested functionality.
  • Monitor performance, quotas, rate limits, reliability, and operational health.
  • Respond to support requests, privacy requests, legal obligations, and security incidents.
  • Communicate with you about waitlist status, access, important service changes, and other transactional or relationship-related matters.
How We Share Information

We do not sell personal information. We also do not share personal information for cross-context behavioral advertising.

We may disclose information in the following circumstances:

  • Infrastructure and hosting. We use Amazon Web Services (AWS) for hosting, storage, email-related operational workflows, and related infrastructure.
  • Authentication providers. If you choose Google sign-in, relevant account authentication information is exchanged with Google OAuth.
  • Connected accounting services. When you connect your accounting systems, we exchange relevant authorization and financial workspace information with QuickBooks.
  • AI service providers. If AI features are enabled using OpenAI, prompts, selected contextual inputs, and output data needed to provide the feature may be processed through OpenAI.
  • Professional and legal recipients. We may disclose information to advisors, auditors, insurers, legal counsel, courts, regulators, or law enforcement when reasonably necessary.
  • Corporate events. Information may be disclosed in connection with a merger, financing, acquisition, reorganization, sale of assets, or similar transaction.

We limit these disclosures to what is reasonably necessary to operate the service, fulfill your requests, comply with law, protect rights and security, or complete a legitimate business transaction.

Cookies and Browser Storage

My AI CFO uses essential cookies and browser storage to operate core product functions. For example, we use secure, HTTP-only session cookies to maintain signed-in state and protect authenticated access to the web app.

We also use browser storage for limited product-state purposes, including:

  • remembering the current organization or workspace selection;
  • storing limited in-browser UI preferences such as theme;
  • retaining assistant conversation history in session storage during use.

You can control cookies through your browser settings, but disabling essential cookies or relevant browser storage may prevent the service from functioning properly.

Data Retention

We retain information for as long as reasonably necessary to operate the service, maintain security, support legitimate business needs, comply with legal obligations, and resolve disputes.

  • Temporary state records, session records, and certain rate-limit or security records may expire automatically after operational or security retention periods.
  • Account, organization, connected-service, financial workspace, forecast, and support-related records may be retained while the relevant account or organization remains active and afterward as reasonably necessary for business continuity, compliance, or dispute-resolution purposes.
  • Waitlist submissions may be retained until they are no longer needed for launch, access, communications, or operational purposes.
Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information and sensitive business data. These measures include authenticated access controls, session-security controls, encrypted secrets and tokens where applicable, permission-scoped organization access, and security-focused operational monitoring.

No method of transmission over the internet or method of electronic storage is completely secure. For that reason, we cannot guarantee absolute security.

Your Choices and Account Controls
  • You may review and update certain account information through the product or by contacting us.
  • You may manage sign-in methods available within the product, including passkeys and other enabled authentication methods.
  • You may disconnect connected accounting services through the product where that functionality is available.
  • You may clear certain browser-side storage directly through your browser or device settings.
  • If you receive non-transactional emails from us, you may opt out where applicable. We may still send service, security, legal, or account-related communications.
California Privacy Rights

If you are a California resident, California law may provide you with rights to request access to personal information we have collected about you, request deletion of personal information, request correction of inaccurate personal information, and receive equal service and pricing without unlawful discrimination for exercising your rights, subject to applicable exceptions.

Depending on how you use My AI CFO, the categories of personal information we may collect include identifiers and contact information, account credentials and security data, internet or network activity information, professional or employment-related context you provide, financial and commercial information contained in connected workspace data, and other information you choose to submit through the service.

We collect and use this information for the business and commercial purposes described in this notice, including operating the service, authenticating users, protecting security, providing financial analysis and connected-service features, supporting AI functionality, communicating with users, and complying with legal obligations.

Children's Privacy

My AI CFO is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us so we can take appropriate steps.

Changes to This Notice

We may update this Privacy Notice from time to time. If we make changes, we will post the revised version here and update the effective date above. If we determine that a change is material, we may also provide additional notice through the website, the web app, or other appropriate communication channels.
